Media Day Participation Agreement & Photo Release

The media day package is $55 per player and includes:

• An individual portrait session at media day.
• At least 3 edited digital images per player.
• Delivery through a private online gallery.

The $25 reservation deposit applies toward the $55 package total. The remaining balance is due as directed in the scheduling emails, before or on media day.

Deposit-paid families choose time slots first once dates are confirmed. Please arrive about 10 minutes before your slot in uniform; a missed slot moves to standby and is fit in as the schedule allows.

If media day is postponed for weather, facility, or scheduling reasons, bookings, deposits, and this agreement carry over to the rescheduled date.

The $25 deposit secures the booking and applies toward the package. It transfers automatically to a rescheduled date and is refunded in full if the event is cancelled by the photographer. It is not refunded for no-shows or same-day cancellations, since the reserved slot cannot be refilled.

Participation is voluntary. Media day takes place in and around athletic facilities and may involve light physical activity, sports equipment, photography and lighting gear, other participants, and outdoor conditions; I understand and accept these ordinary risks on behalf of the Athlete.

To the fullest extent permitted by Illinois law, I release Antonio Vargas Photography and its owner from claims for personal injury or property damage arising out of ordinary negligence in connection with the Athlete’s attendance. This release does not extend to gross negligence, willful misconduct, or any liability that cannot be waived under Illinois law.

No medical services are provided. In an emergency, I consent to reasonable first aid being provided and to emergency services being contacted; any medical costs are our responsibility. The Athlete is responsible for their own belongings and will follow venue rules and reasonable safety instructions.

Media day is a photo event: participating means the Athlete will be photographed. I authorize Antonio Vargas Photography to photograph the Athlete and to use, reproduce, publish, and display the resulting images:

• In the photographer’s portfolio, on antoniovargas.io, and in online galleries.
• On the photographer’s social media and in marketing and printed samples of the photographer’s work.
• Shared with the Athlete’s club and team for team media purposes (club website, social accounts, programs, and recruiting materials).

Licensing of the Athlete’s image to unrelated third parties requires separate written permission. Images of minors are handled per the Youth Sports Photo Policy at antoniovargas.io/photo-policy: curated publishing, no full-name pairing in public captions, location metadata stripped, and private delivery for fuller coverage.

Antonio Vargas Photography keeps the copyright to the photographs. My family may use images of our own Athlete for personal, non-commercial purposes — sharing, printing, and personal social media — without further permission. We will not resell the images or edit them in ways that misrepresent the Athlete, a team, or the moment.

I may ask for any image of the Athlete to be removed from public galleries or social media at any time by emailing inquiry@antoniovargas.io — removals are handled within 7 days, no questions asked.

I may revoke the photo release going forward by written notice; revocation applies prospectively and does not affect uses that already occurred. Because the photo release is a condition of participating in media day, revoking it before the session means the Athlete can no longer participate (the deposit is then refunded).

I confirm that I am at least 18 years old and that I am the Athlete’s parent, legal guardian, or an adult authorized to sign on their behalf. One signature covers every athlete listed below. If any part of this agreement is found unenforceable, the rest remains in effect. This agreement is governed by Illinois law.
